We are a successful, independent training provider and adult learning centre offering an apprenticeship vacancy. The successful applicant will gain knowledge and experience of a wide range of administration skills. Full training will be provided to achieve the Level 3 Business Administrator apprenticeship standard which is a well-respected, nationally recognised qualification.
The role is varied and interesting. The duties:
Front of House
Greet all visitors and direct them to the relevant person/location
- Provide a focal point for course enquiries – via phone e-mail or face-to face and provide appropriate information advice and guidance.
- Maintain good awareness of Rewards product portfolio and that of relevant external providers for signposting individuals where necessary
- Manage telephone enquiries and transfer calls to the relevant person/department following protocols for message taking.
- Take responsibility for incoming and outgoing mail handling.
- Complete stationery orders for the office as appropriate
- Scan and distribute certificates to learners
Onboarding & Admissions
- Make telephone calls/send emails to book Admissions meetings
- Use MS Teams to host Admissions meetings
- Prepare applications for Admissions calls
- Support applicants/employers with any queries about onboarding for Apprenticeships
- Follow up with applicants on outstanding assessments or other issues
- Prepare and issue Apprenticeship agreement documents
- Support the Sales team with administration tasks and information requests
- Produce invoices and chasing overdue payments
- Attend team meetings and occasionally take notes
- Update spreadsheets and trackers accurately with relevant details
- Attend occasional events with other staff members (no overnight stays required) i.e., local careers fairs/business networking events to promote Rewards
- Provide occasional Reception support
- Send out relevant information to clients in response to enquiries within 24 hours
- Liaise with colleagues to book individuals onto courses course induction sessions and appointments
Exam Administration
- Check in candidates, following procedures and carrying out mandatory ID checks.
- Book and administer exams – AAT, PSI & KTN
- Invigilate exam sessions meeting requirements defined by exam sponsors.
- Complete attendance registers and associated exam centre administration
- Compile and circulate a monthly report on exam centre delivery.
General Administration
- Contact learners at the direction of the Client Services Manager
- Complete general admin duties; filing, photocopying etc as required
- Assist with generic duties under the instruction of the Client Services Manager

Hours: 9.00am to 5.00pm, 5 days per week (weekdays including Fridays), total hours 37.5
Lunch: 30 mins unpaid
Annual leave: 24 days per annum, plus bank holidays. Annual leave runs from January to December. 3 days of annual leave will be assigned for office Christmas shutdown.
Length of apprenticeship: 15 months, plus up to 3 months End Point Assessment time to complete assessments. Further opportunities beyond the apprenticeship are subject to business need. Apprenticeship funding eligibility criteria applies.

- Level 3 Business Administration Apprenticeship
- Level 2 Functional Skills mathematics (if required)
- Level 2 Functional Skills English (if required)
